Job Summary
We are looking for an organized, professional, and customer-oriented Shared Office Support Representative to oversee the day-to-day operations of our shared office space. The ideal candidate will be responsible for ensuring smooth facility operations, assisting clients, managing office resources, and maintaining a welcoming and professional environment for all users.

Job Description/Requirements
Responsibilities:
Client Support:
- Greet clients and visitors, ensuring a friendly and professional experience.
- Assist tenants with inquiries, facility needs, and technical support.
- Address and resolve client concerns or escalate issues to management when necessary.
Facility Management:
- Monitor the cleanliness and organization of shared office spaces, conference rooms, and common areas.
- Coordinate with housekeeping and maintenance teams to ensure a tidy and functional workspace.
- Oversee office supplies inventory and ensure adequate stock levels for tenants.
Administrative Tasks:
- Manage bookings for meeting rooms and shared spaces, ensuring efficient utilization.
- Maintain records of tenant agreements, usage logs, and billing details.
- Assist in onboarding new tenants, including setup of access credentials and office tours.
Technology Support:
- Provide basic troubleshooting for shared office technology, such as printers, Wi-Fi, and AV equipment.
- Coordinate with IT support for resolving complex technical issues.
Event Coordination:
- Support tenant events, networking activities, and workshops by managing logistics and promoting attendance.
- Ensure seamless execution of meetings and events held in the shared office space.
Compliance and Security:
- Enforce shared office policies and ensure compliance with safety and security standards.
- Monitor access to the facility to safeguard tenants and property.
Requirements:
Education:
- Minimum of a High School Diploma or equivalent; a degree in Business Administration or a related field is an advantage.
Experience:
- At least two (2) of experience in office administration, customer service, or a related role.
Skills:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in office software (e.g., MS Office Suite, Google Workspace).
- Basic knowledge of office technology and equipment.
- Ability to remain calm and professional in a fast-paced environment.
