Job Description/Requirements
Main Responsibilities:
- Supplier Liaison: Assist in managing communication with suppliers, maintain good working relationships, collect quotations and samples, and participate in price negotiations.
- Order Management: Create, track and manage purchase orders, ensure order accuracy and timely delivery, and handle order changes and cancellations.
- Inventory Control: Monitor inventory levels, perform inventory analysis and demand forecasting, and ensure that inventory is sufficient to meet production and sales needs.
- Data Maintenance: Record and update procurement data and related documents, ensure that the information is accurate, and report to superiors in a timely manner.
- Market Research: Collect market information and supplier dynamics, analyze market trends, and provide recommendations to optimize procurement strategies and decisions.
- Contract and Compliance Management: Assist in reviewing procurement contracts, ensure compliance with contract terms, and ensure that procurement activities comply with company policies and laws and regulations.
- Problem Handling: Handle various problems that arise during the procurement process, such as delayed delivery and quality issues, and take timely solutions.
- Report Preparation: Prepare procurement reports, including procurement data analysis, supplier performance evaluation, and inventory reports to support decision making.
Qualifications:
- Education Requirements: Bachelor's degree in Business Administration, Procurement and Supply Chain Management, or related fields is preferred.
- Work Experience: 1-3 years of work experience in related fields, experience as a procurement assistant or similar position is preferred.
- Skill Requirements: Good organizational and time management skills, excellent communication skills and negotiation skills, familiarity with procurement processes and market dynamics, and basic data analysis skills.
- Technical Requirements: Proficiency in office software (such as Microsoft Excel, Word, PowerPoint), understanding of procurement management systems or ERP systems is preferred.
Work Environment:
- The Procurement Assistant will work in an office and may be required to communicate frequently with suppliers and employees from other departments. The work environment is typically fast-paced, requiring multi-tasking and ensuring work is completed efficiently and accurately.
