Job Description/Requirements
Key Responsibilities:
Project Planning and Coordination:
- Assist in project initiation and planning: Support the project team in developing project plans, timelines, and deliverables based on client and organizational requirements.
- Coordinate project schedules and resources: Help in assigning tasks to project team members and ensuring resources are available and aligned with project needs.
- Track project milestones: Monitor the progress of ongoing projects and ensure they are executed in line with the established project timeline.
Communication and Stakeholder Management:
- Liaise with internal teams and external stakeholders: Assist in facilitating communication between clients, vendors, and team members to ensure seamless project execution.
- Organize and attend project meetings: Take meeting notes, track action items, and communicate any project updates or issues to the relevant stakeholders.
- Update project stakeholders: Prepare regular reports and updates on project progress, risks, and upcoming tasks for senior management and clients.
Documentation and Reporting:
- Maintain project documentation: Ensure that all project-related documentation, including contracts, reports, meeting minutes, and schedules, are accurately recorded and well-organized.
- Prepare project status reports: Assist in compiling and formatting project updates, reports, and presentations for management and clients.
- Document lessons learned: Support the team in maintaining a log of lessons learned and improvements for future projects.
Risk Management and Issue Resolution:
- Identify potential project risks: Help in identifying and analyzing risks that may affect project timelines, resources, or scope.
- Support risk mitigation efforts: Assist in developing and tracking strategies to mitigate identified risks and resolve issues before they impact the project.
Administrative and Operational Support:
- Support project administration: Provide general administrative assistance to the project team, such as arranging travel, preparing presentations, and managing schedules.
- Assist with procurement: Support in managing vendor relationships and procurement processes for project materials and resources.
Qualifications:
- A Bachelor's degree in Project Management, Business Administration, or a related field.
- Basic knowledge of project management tools and techniques is an added advantage.
- Excellent communication skills and attention to detail.
- Proficiency in MS Office (Excel, Word, PowerPoint).
Experience:
- A young graduate with at least 1 year of working experience in a corporate environment, ideally within a project-oriented role or any administrative capacity.
