Job Overview:
We are seeking an organized, proactive, and experienced Office Manager to join our team. The Office Manager will be responsible for ensuring the smooth and efficient day-to-day operations of the office, managing administrative duties, and supporting various departments. This role is crucial in maintaining a productive, positive work environment and ensuring all office-related tasks are handled with precision.
The ideal candidate will be a self-starter with excellent organizational and multitasking skills, capable of managing office resources, and schedules, and supporting senior management.
Key Responsibilities:
- Office Administration: Oversee daily office operations, including managing office supplies, equipment maintenance, and vendor relationships to ensure the smooth functioning of the office
- Staff Support: Provide administrative support to senior management and other departments as needed, including handling correspondence, scheduling meetings, and preparing reports or presentations
- Team Coordination: Act as a central point of communication between departments, ensuring smooth workflow and timely delivery of tasks. Manage office calendars and assist with event planning
- Budget & Expense Management: Monitor office budgets, manage petty cash, and ensure expenses are tracked and managed efficiently. Approve office-related invoices and oversee procurement processes
- HR Support: Assist in coordinating HR activities, including maintaining employee records, facilitating onboarding of new staff, and managing timesheets and leave records
- Facilities Management: Ensure office spaces are clean, organized, and safe. Coordinate office maintenance and repairs as needed
- Compliance & Policy Enforcement: Ensure company policies are followed and that the office adheres to local regulations. Maintain office confidentiality and handle sensitive information appropriately
- IT & Tech Coordination: Liaise with IT teams to ensure that office technology functions effectively, including managing software licenses, troubleshooting minor IT issues, and coordinating with vendors for larger IT support
Qualifications & Experience:
- Bachelor’s degree in Business Administration, Management, or a related field preferred
- Proven experience in office management, administration, or a similar role
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in office software (e.g., Microsoft Office, Google Workspace) and familiarity with office management tools or software
- Ability to manage multiple priorities and work in a fast-paced environment
- Experience with basic HR functions, including onboarding and employee record management, is a plus
