Job Summary

As the Head of Project Management for an IT services company, your role is critical in overseeing and leading the successful delivery of client projects, ensuring that all projects are completed on time, within scope, and on budget. You are likely responsible for managing the project management team, developing strategies for efficient project execution, and driving the alignment between IT service offerings and client expectations.

Job Description/Requirements

Responsibilities: 
Leadership & Strategy: 

  • Lead and manage the project management team, providing mentorship, guidance, and support.
  • Develop and implement project management strategies, methodologies, and best practices.
  • Align project goals with the company’s broader business objectives, ensuring that all projects contribute to the company's success. 
  • Establish KPIs and metrics to measure project success and team performance.

Project Delivery & Execution: 

  • Oversee the entire project lifecycle, from planning and initiation to execution, monitoring, and closure. 
  • Ensure effective resource allocation and management, coordinating with technical teams, operations, and other departments.
  • Handle complex, high-priority projects and ensure that the IT services meet client requirements and industry standards.

Stakeholder Management: 

  • Act as the primary point of contact for clients, vendors, and internal teams to ensure alignment and clear communication.
  • Build strong relationships with clients to ensure satisfaction and secure repeat business.
  • Facilitate client meetings and ensure that expectations are managed throughout the project lifecycle.


Risk Management & Problem Solving:

  • Identify potential risks and develop mitigation strategies to address them.
  • Proactively resolve issues related to project delays, budget overruns, and resource constraints.
  • Ensure that projects stay on track by addressing bottlenecks or obstacles promptly.


Continuous Improvement:

  • Regularly evaluate project outcomes to identify lessons learned and areas for improvement.
  • Foster a culture of continuous improvement by encouraging innovation and adopting new project management tools or practices.
  • Train and develop team members, helping them to stay current with new technologies, methodologies, and best practices.


Financial & Resource Management: 

  • Develop and manage project budgets, ensuring projects are delivered within financial constraints.
  • Optimize resource usage to ensure efficiency without compromising the quality of service.
  • Oversee procurement processes for any third-party resources or services needed to deliver projects.


Reporting & Documentation: 

  • Provide regular status reports to executives and stakeholders, detailing progress, risks, and outcomes.
  • Maintain comprehensive project documentation for internal reference and knowledge sharing.
  • Ensure that all project deliverables are properly tracked, signed off, and archived.

Key Skills & Competencies: 

  • Project Management Methodologies: Proficiency in Agile, Scrum, Waterfall, or hybrid approaches, depending on the company’s preferred methodologies.
  • Leadership & Team Management: Ability to lead a team of project managers and coordinate with cross-functional teams. 
  • Client Relationship Management: Strong communication and interpersonal skills to maintain positive relationships with clients and stakeholders.
  • Financial Acumen: Expertise in budgeting, forecasting, and financial reporting to ensure projects are delivered within budget.
  • Problem-Solving & Decision-Making: Ability to navigate complex challenges and make quick decisions to keep projects on track.
  • Risk Management: Proactively identifying and mitigating risks that may impact project timelines, budgets, or outcomes.
  • Technology & Tools Proficiency: Knowledge of project management software (e.g., Jira, MS Project, Asana, or similar tools) and familiarity with IT infrastructure and service delivery models.


Challenges:

  • Balancing Client Expectations and Delivery Capacity: IT projects can often face scope creep, budget changes, and evolving client needs, making it challenging to deliver as promised.
  • Managing Diverse Stakeholders: IT services often involve various stakeholders, including technical teams, business units, external vendors, and clients, all with different expectations.
  • Adapting to Technological Change: The IT landscape changes rapidly, and staying ahead of technological trends while ensuring that project teams have the right skills and tools is essential.
