Job Summary
We are looking for a Front Desk Assistant who will be the first point of contact for customers and visitors. You will play a crucial role in creating a positive first impression by delivering excellent customer service, managing administrative tasks, and ensuring the smooth operation of daily front desk activities. You must be friendly, approachable, and highly organized, with the ability to juggle multiple tasks and responsibilities.

Job Description/Requirements
Key Responsibilities:
- Customer Service: Greet and assist customers and visitors with professionalism and courtesy. Ensure that all visitors are attended to promptly and efficiently
- Administrative Support: Handle general administrative duties such as answering phones, scheduling appointments, and managing inquiries.
- Communication: Maintain clear communication with other departments to ensure smooth operational flow and efficient service delivery.
- Record Keeping: Maintain and manage records, files, and documents in an organized manner, ensuring all client information is accurate and confidential
- Appointment Scheduling: Manage and schedule appointments, ensuring the calendar is up-to-date and conflicts are avoided.
- Front Desk Operations: Ensure the front desk is neat, organized, and welcoming at all times.
- Handle incoming and outgoing mail and deliveries.
- Customer Queries: Address and resolve customer inquiries or issues in a timely and professional manner, ensuring customer satisfaction.
- Other Duties: Assist with various administrative tasks and support the overall functioning of the office as required.
Requirements:
- Location: Must be based in Tamale.
- Experience: Previous experience in a customer service or front desk role is preferred but not required.
Skills:
- Strong communication and interpersonal skills.
- Excellent customer service skills, with a positive and helpful attitude.
- Ability to manage multiple tasks and prioritize effectively.
- Good organizational and time-management abilities.
- Proficient in basic office software (MS Office or similar).
- Ability to work in a fast-paced environment while maintaining professionalism.
- Attention to detail and problem-solving skills.
- Qualification: A diploma is required; a degree in Hospitality Management, Business Administration, or a related field is an advantage.
- Other: Ability to maintain a calm and professional demeanor under pressure.
