Job Summary

The Factory Administrative Officer will provide essential administrative support to ensure smooth operations within the factory. The ideal candidate will be responsible for handling documentation, managing inventory, coordinating staff activities, and ensuring compliance with factory regulations. This role requires a detail-oriented and proactive individual with strong organizational and communication skills.

Job Description/Requirements

Key Responsibilities:

Administrative Support:

  • Maintain accurate records of factory operations, including employee attendance, shift schedules, and production reports.
  • Prepare and manage correspondence, reports, and presentations as required.
  • Ensure all administrative files are properly documented, updated, and stored securely.

Human Resource & Staff Coordination:

  • Assist in recruiting, onboarding, and maintaining employee records.
  • Monitor attendance, leaves, and overtime records for payroll processing.
  • Address staff queries and escalate HR-related concerns when necessary.

Procurement & Inventory Management:

  • Track and manage stock levels of factory supplies, materials, and office essentials.
  • Coordinate with vendors and suppliers to ensure timely procurement of goods.
  • Keep records of purchases and inventory usage to prevent shortages or excesses.


Compliance & Safety:

  • Ensure that factory operations adhere to company policies and Ghanaian labor laws.
  • Support the implementation of health and safety protocols in the workplace.
  • Maintain records of safety inspections, training sessions, and regulatory compliance.

Financial & Payroll Support:

  • Assist in processing payroll by compiling attendance and overtime records.
  • Handle petty cash and maintain records of office-related expenses.
  • Support budgeting and cost-control measures for factory operations.

Logistics & Communication:

  • Coordinate transportation of goods, raw materials, and finished products as required.
  • Act as a liaison between factory workers, management, and external stakeholders.
  • Organize and schedule meetings, visits, and factory tours when needed.


Qualifications & Experience:

  • Minimum HND, Diploma, or Bachelor’s degree in Business Administration, Management, or a related field.
  • At least 2 years of experience in an administrative role, preferably in a factory or manufacturing environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with ERP software is a plus.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and problem-solving abilities.
  • Ability to work independently and handle multiple responsibilities effectively.
