Job Summary

We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role includes a variety of tasks related to organization and communication, ensuring the smooth running of our daily activities.

Job Description/Requirements

Key Responsibilities:

  • Perform general office administrative tasks such as answering phones, managing emails, filing, and handling correspondence.
  • Prepare reports, presentations, and data as required by management.
  • Maintain office supplies by checking stock, placing orders, and coordinating with vendors.
  • Schedule meetings, appointments, and manage calendars for team members.
  • Assist with travel arrangements and booking accommodations for team members.
  • Handle incoming and outgoing mail, courier services, and document management.
  • Organize and maintain office filing systems, both physical and digital.
  • Greet and assist visitors, ensuring a welcoming and professional atmosphere.
  • Coordinate and assist with internal and external communications, including preparing meeting minutes.
  • Support various departments with administrative tasks, ensuring that deadlines are met.
  • Provide general support to team members, responding to ad hoc requests and helping with special projects.

Qualifications:

  • Proven experience as an Administrative Assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and in a team environment.
  • Detail-oriented with the ability to multitask and prioritize tasks effectively.
  • Familiarity with office equipment (e.g., printers, scanners) and basic IT troubleshooting skills.
  • A proactive approach to problem-solving and the ability to anticipate the needs of the team.

Education:

  • A university diploma is required; additional qualifications as an Administrative Assistant or in a related field is a plus.
