Job Summary

The Accounts and Operations Assistant is responsible for supporting both financial and operational functions within the organization. This role ensures smooth daily operations, accurate financial record-keeping, and efficient coordination between departments.

Job Description/Requirements

Responsibilities:

Accounts Support:

  • Assist with accounts Receivable and Payable.
  • Prepare invoices, receipts, and financial reports.
  • Ensuring accuracy in the accounting software of the organization
  • Support the preparation of budgets and financial forecasts.
  • Assist with payroll processing, tax filings, and compliance requirements.
  • Manage expense tracking and petty cash disbursement.


Operations Support:

  • Coordinate daily office activities to ensure smooth operations.
  • Assist in inventory management, procurement, and vendor communications.
  • scheduling, logistics, and resource allocation.
  • Handle customer or client inquiries and resolve operational issues efficiently.
  • Prepare reports and documentation related to operational performance.



Administrative Duties:

  • Maintain organized files, records, and documentation for both accounts and operations.
  • Manage correspondence with internal teams, clients, and vendors.
  • Support management in implementing policies, procedures, and operational improvements.



Collaboration and Reporting:

  • Work closely with the Accounts and Operations teams to achieve company goals.
  • Provide regular updates to supervisors on tasks, progress, and challenges.
  • Support audits, financial reviews, and compliance checks.



Qualifications:

Education and Experience:

  • Bachelor’s degree in Accounting, Business Administration, or a related field (preferred)
  • 1-3 years of experience in accounting, operations, or administrative roles.


Skills:

  • Strong knowledge of accounting principles and bookkeeping.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Familiarity with accounting software (e.g., QuickBooks, Xero) and ERP systems.
  • Excellent organizational and multitasking abilities.
  • Strong problem-solving and analytical skills.
  • Effective communication skills, both written and verbal.
  • High attention to detail and accuracy in data management.
